Operational Guidance

Health & Safety Checklist:

ON ARRIVAL:

  • Familiarise yourself with the fire/emergency exits and conduct a fire drill with your students in case of emergency.
  • At check-in note students room numbers against your names list, for your reference.
  • Check the hotel/youth centre has a safety deposit box and encourage students to place valuables in it and not in their bedrooms.
  • Should you have any, report any Health & Safety concerns to reception as soon as possible.
  • Take down the telephone numbers of the emergency services in your destination and distribute to the students. Where possible give them your contact number (mobile phone number) in case they need to contact you when separated from the group.

OUT & ABOUT:

  • Make sure the students have the name, address and telephone number of the hotel/youth centre and a contact number for the group leader in case they become separated from the group.
  • Ensure that students do not go out alone and they remain in groups of at least 3 or 4 when they are not on an organised group excursion.

INSURANCE :

Carry details of your insurance cover with you at all times. You should advise the insurance company of the need for everyone in the party to declare any pre-existing medical conditions that they might have. In the event of serious medical conditions or in-patient treatment, you will have a 24 hour assistance number on your insurance policy which should be called immediately. Failure to notify the insurance company of medical assistance whilst on tour may invalidate any claim.

PROBLEMS:

Tour operators prefer to solve your problems whilst you are on tour. At booking you should receive Emergency Contact Details – make sure you have these with you at all times. Don’t feel awkward about phoning – that’s what these emergency systems are for and 9 times out of ten they can sort your problems there and then.

Note that failure to bring problems to operators’ attention whilst your group is on tour can seriously reduce the validity of any claims on your return.
