Operational Guidance
Support Whilst You Are Away
What a Tour Operator Can DO:
In the unlikely event of an emergency situation occurring whilst you and your group are away from home, your chosen tour operator will have a range of emergency procedures and systems set up to help. Your tour operator should always be a phone call away 24/7.
24 hour cover – what can you expect
24 hours a day / 7 days a week, your tour operator should offer you a highly trained member of staff in the UK, available to take your emergency calls and deal effectively with your queries and issues. On call staff should be experienced and able to calmly assist you with any given situation. Should the emergency require escalation they will be trained in a procedure for this and guide you through the necessary steps and stages to make things as easy for you as possible in the circumstances. These emergency staff will be able to call upon all necessary support and resources to resolve an emergency situation.
At your destination
Medical Emergency Assistance
Your tour operator should have medical emergency assistance organised for you whilst away. In a medical emergency whilst on tour they will make contact with Medical Emergency Assistance on your behalf. Make sure you ask for details of this before you go.
Guide and Representatives
In selected destinations, tour operators also provide guides and representatives whom where needed, can provide useful additional assistance. Their local knowledge and language skills can prove invaluable in such circumstances.
More details
For your peace of mind, full details of our emergency procedures will be given to you when you make your booking.
What You Can DO:
Be organised. Ensure that you have:
- Your tour operator emergency contact details with you at all times. Add the number into your mobile, have it in your wallet and ensure your contact at the school also has the number.
- Emergency contacts for your school whilst you are away.
You should have an agreed emergency contact/ colleague from your school. Either
yourself or your school contact should have a list of all the parents contact numbers
and addresses at all times.
- Photocopies of the students passports for reference.
This way if a parent needs to be contacted in an emergency they have the
information to hand should it be required
